Booking & Cancellation Policy
Bookings
To complete your reservation, please complete all of the following:
- Pay 50% Deposit
Submit your deposit via our online registration form. Any applicable credits or additional charges will be applied to your balance. - Pay Remaining 50% Balance
The remaining balance is due two (2) weeks before the retreat start date. An invoice will be sent to you at that time. - Credit Card Fees
A 3% transaction fee applies to all credit card payments. - Liability Waiver
Read and electronically sign our Online Liability Waiver. - Flight Itinerary Submission
Email your flight details to info@chicabrava.com at least 30 days prior to camp start.
A 3% fee may be charged if flight details are submitted late.Please use the following format:

You must purchase travel insurance. We strongly recommend a “Cancel For Any Reason” policy. See details below. - Shared Room Policy (Solo Travelers)
If you book a shared room, we will do our best to pair you with 2–3 guests, which is how most shared rooms are filled. In the unlikely event a shared room is not available by camp start, you may be required to upgrade to a private room. In that case, we will apply a discounted upgrade rate and invoice you for the price difference. - Minimum Guest Requirement
Retreats require a minimum of four guests. Dates are based on strong demand, and retreats run as scheduled. In the unlikely event the minimum is not met, we will move your reservation to another date at the same location and waive the $200 change fee. - Trip Preparation

Cancellations and Changes:
Our cancellations/change policies are as follows:
- 60 days before retreat start:
Your deposit is non-refundable but may be applied to a future reservation for a one-time $200 change fee (due at rebooking).- Rebooking must occur within 7 days of cancellation, and the new retreat date must take place within one year of your original reservation.
- Only one change is permitted.
- Once a change is made, both the deposit and change fee become non-refundable.
- If rebooking does not occur within 7 days, the deposit is forfeited.
- 30 days or less before retreat start:
Your deposit is non-refundable and may not be applied to a future reservation. - 14 days or less before retreat start:
All payments made (deposit and balance) are completely non-refundable.
We are unable to make exceptions to this policy for any reason.
Travel Insurance
Because last-minute injuries, illnesses, work emergencies, family emergencies, and global or political events can and do occur, travel insurance is required for all guests.
To protect yourself against the widest range of unexpected circumstances, we strongly recommend purchasing a “Cancel For Any Reason” (CFAR) policy.
Please read carefully:
- Not all insurance providers offer CFAR coverage.
- CFAR policies must typically be purchased shortly after your initial deposit (often within 14–21 days).
- Standard travel insurance policies often exclude many common cancellation reasons.
- It is your responsibility to review policy details and confirm that your chosen coverage meets your needs.
- We are not responsible if an insurance policy does not cover your specific reason for cancellation.
Important
- Purchasing travel insurance does not alter or override Chica Brava’s cancellation policy.
- Our cancellation policy applies in all cases, regardless of insurance coverage.
- We are unable to make exceptions to our cancellation policy for any reason.
